Getting started
What to prepare in your salon scheduling software

Base helps hair salons, barbers, nail studios and other beauty teams organise appointments around the people who can actually perform each service. Customers may request a preferred provider or any eligible staff member. Confirmation checks skills, shifts, breaks, buffers and existing reservations, while reception keeps website requests, phone bookings, walk-ins, reschedules and no-shows in one calendar.

A real console. The records in it are invented.

Salon software for independent salons, barbers and mobile teams

The profile is for an independent salon, barber or mobile beauty team that publishes real services with duration, price, buffers and required skills. It supports reception, managers and practitioners who need a shared view of requests, confirmed visits and customer details. A chair or room joins the allocation only when it genuinely limits simultaneous work; the normal promise remains time with a specific or any eligible member of staff.

How the hair salon booking system schedules a visit

Each step preserves one appointment record, from the published service to completion or no-show.

  1. 1. Define services and eligible people

Create services with duration, before and after buffers, price lines and skill requirements. Add staff skills, shifts, breaks, locations and exceptions. Add a chair or room only where that resource truly constrains the treatment instead of inventing a resource for every visit.

  2. 2. Offer preferred or any eligible staff

The customer chooses a time and may request a particular practitioner or let the salon assign any eligible one. The verified request stays visible for reception review. Staff can also enter a phone appointment or walk-in under the same service, price and policy rules.

  3. 3. Confirm an exact assignment

Base resolves any-eligible selection deterministically and reserves the named staff member. It checks service skill, shift, break, exception, external block, buffers and any required chair or room. The selected provider and decision remain with the booking.

  4. 4. Manage arrival and changes

Reception can reschedule, reassign, cancel or record arrival through guarded transitions. A change releases and reallocates reservations atomically, so the old slot is not left blocked. Reminders highlight upcoming or late visits without changing a booking themselves.

  5. 5. Complete or record no-show

Staff start and complete the visit, or record a no-show using the shared appointment flow. The calendar and customer history then reflect what happened. External payment, refund or deposit facts may be noted after they occur, but Base does not run checkout or calculate commission.

Appointment problems a busy salon sees every day

A useful opening is not simply empty time: it is a service, an eligible person and every real resource needed for the visit.

A free stylist is not always eligible

Services carry required skills and staff carry skills, shifts, breaks and exceptions. “Any available” therefore means an active person who can perform that service at that location and is clear for its duration and buffers. Reception does not need to remember qualification rules from a separate note.

Messages hide changes to the day

A customer may call to move a visit, walk in, cancel late or fail to arrive. Base keeps those transitions on the booking and reallocates with the same rules. A walk-in is a staff-created appointment, not an invisible block that makes public availability mysteriously disappear.

Duration and price context gets lost

The service defines duration, preparation or cleanup buffers, variant and price lines. Confirmation keeps the accepted snapshot so a later menu edit does not rewrite an earlier visit. Staff can see what was promised without claiming that Base collected a card payment.

Booking the right stylist, not a generic slot

Salon availability joins the service promise to people capable of delivering it.

A named professional, or anyone qualified

A named-provider request uses only that person’s valid availability. A request for anyone qualified considers active staff whose stored skills match the service and whose schedule remains clear through all buffers. Confirmation writes the chosen assignment instead of confirming against fictional generic capacity.

Optional resources stay optional

A constrained room or chair can be reserved with staff in the same transaction. If either required resource conflicts, no partial confirmed appointment exists. Ordinary services where furniture does not constrain sales keep the simpler staff-only allocation.

Real cases for a nail salon booking system

These cases show an ordinary booking and a real refusal path.

A customer chooses any colourist

The customer selects a colour service and time rather than a person. Base considers only staff with the matching skill, working at that location and free through the buffers. Confirmation assigns one eligible colourist and keeps the service, price and policy snapshot. Any later reassignment passes the same checks.

Nobody eligible can cover the request

A time looks generally open, but the only free team member lacks the required skill or is outside their shift. Base leaves the request unassigned rather than manufacturing a confirmation. Reception can propose another time or practitioner, adjust the request with the customer, or decline it.

A walk-in changes the afternoon

Reception creates the walk-in against a real service and eligible person. Its confirmed reservation immediately affects availability, so a later online request cannot take the same staff time. Rescheduling or cancellation releases the slot through a booking transition rather than deletion of a calendar block.

Clear salon records without inflated claims

Base keeps operational evidence while the beauty business remains responsible for services, privacy and customers.

Changes remain attributable

Service and policy versions, assignment decisions, reschedules, arrival, completion and no-show actions stay associated with the booking and staff action. Reception gets a practical history when a customer calls, without presenting the activity as a review, rating or performance promise.

Collect only what the visit needs

Beauty appointments do not include clinical, intimate or health intake records by default. The salon owns privacy notices, retention and role access. Customer payment stays outside Base, which is not represented as POS, payroll, accounting or a regulated records product.

What to prepare in your salon scheduling software

List real services, durations, buffers, variants, price lines and required skills. Add active staff, their skills, locations, shifts, breaks and exceptions. Decide whether customers may choose a person or any eligible provider, and identify only rooms or chairs that genuinely constrain a service. Publish reviewed service, cancellation and privacy policies, configure reception and practitioner access, and import future appointments through collision and skill validation.

Salon booking limits and refusal paths

A truthful profile separates what the booking calendar enforces from wider business processes.

What it does not turn the salon into

This is not a point-of-sale, payroll or commission engine, stock and accounting package, consumer marketplace, clinical record or automated marketing system. Packages and waitlists are not promised unless the active capability supports them. Customers pay the salon outside Base; staff may record only factual external money events.

No checkout or finance suite

Base does not take customer card payments, settle funds, calculate commission, run payroll, value inventory or keep accounts. External payment and deposit events may be recorded manually as facts connected to the appointment.

No unsupported package promise

A recurring series, package balance or waitlist requires its released capability. The page does not promise those features merely because a salon might want them. The core appointment remains useful through services, eligible staff and guarded availability.

Confirmation can stop safely

No eligible staff member, a shift or buffer conflict, required room conflict, stale price or missing policy evidence can prevent confirmation. The request stays available for reception action; Base does not silently assign an unqualified person or overbook capacity.

Salon booking questions

Will clients get SMS reminders?

No — Base does not send SMS. Notifications go by email or Telegram, and your booking page works in English, Greek and Russian, which suits a salon booking system Cyprus clients can use in their own language. Staff also get two-way Google or Microsoft calendar sync, so the salon scheduling software and each stylist's personal calendar stay in step.

Can customers choose a particular stylist or barber?

Yes. A service may allow a specific practitioner or any eligible practitioner. Specific selection follows that person’s schedule; any-eligible selection considers only active staff with the required skill and clear availability.

How does Base handle walk-ins?

Reception creates a staff-authored booking against the real service and assigned practitioner. Once confirmed, it blocks that staff time like any other appointment and remains in customer and operational history.

What happens when nobody eligible is free?

The request remains unassigned or is refused rather than falsely confirmed. Reception can offer another time, another qualified practitioner, or decline after discussing the alternatives with the customer.

Can a service require both staff and a room?

Yes, when the room or chair genuinely constrains the service. Base checks and reserves all required named resources atomically, so a partial staff-only or room-only confirmation cannot be created.

Does Base replace our POS or payroll?

No. Customer funds, checkout, payroll, commission, inventory accounting and marketplace functions remain outside this profile. The appointment may contain factual manual money events after they happen elsewhere.
