Booking confirmation email: what to include, with templates
A booking confirmation email is the one message every customer gets — and the one they open again on the day to check the time, find the address or move the booking. This guide shows what a good booking confirmation email must say, subject lines that get opened, ready templates for appointments, classes, tours and rentals in Cyprus, and the difference between “request received” and “booking confirmed”. Copy the templates, put your own details in and let the confirmation go out by itself the moment someone books.

What a booking confirmation email must say
An email booking confirmation answers the questions the customer will have on the day, in the order they will ask them. First, is it confirmed? Say so in the first line. Then what, when and with whom: the service, the date with the weekday, the time, the length, the stylist, trainer or guide. Then where: the address, a map link and everything the map does not show — parking, which entrance, the berth number, the meeting point.
After that, the money: the total, the deposit already paid, what is left and how it is paid. The booking reference, so both sides can find it. How to change or cancel, and until when it is free. And, if it matters, what to bring or how to prepare.
Everything else — your story, other services, a newsletter sign-up — makes the email longer and the important lines harder to find. Leave it for another message.
Subject lines that get opened
The subject line is what the customer types into their inbox search two weeks later, so it needs the business name, the word “confirmed” and the date. Booking email confirmation subjects that work:
“Confirmed: haircut with Elena, Thu 14 Nov, 10:00 — [Business]” · “Your booking 4821 is confirmed — [Business]” · “See you on Saturday: boat trip from Limassol Marina, 09:30”.
Avoid “Thank you for your order” and “Booking update”: they say nothing and look like spam. Send from an address with your business name, and make sure a reply reaches a person — customers answer confirmations with questions more often than you think.

Templates for classes, tours and rentals
Class or training session — Subject: You’re in: [class] on [day] at [time]. Body: “Hi [Name], your place in [class] with [instructor] on [day, date] at [time] is confirmed. [Studio address, map link.] Bring water and a towel; come ten minutes early if it’s your first class. [n] sessions left on your pass. Can’t come? Release your place for the waiting list until [time]: [link].”
Tour or boat trip — Subject: Confirmed: [tour] on [date], meeting at [time]. Body: “Hi [Name], your [tour] for [n] people is confirmed. Meet at [place, map link] at [time]; we leave at [time] sharp. Bring a hat, sun cream and swimwear. If the weather is unsafe we will message you by [time] the evening before and move or refund the trip. Reference [number].”
Car, scooter or equipment rental — Subject: Your rental [number] is confirmed — pickup [date]. Body: “Hi [Name], your [vehicle or item] is booked from [date, time] to [date, time]. Pickup at [location]. Bring your driving licence, ID and a card for the €[amount] deposit. Return with the same fuel level by [time]. Extend or cancel: [link].”
For a room or a villa the same structure works as a room booking confirmation email: check-in time, how the keys or door code are handed over, house rules in one line, and check-out time.
Request received vs booking confirmed
If you accept every booking by hand — a boat with limited seats, a job that needs a look first, a rental that depends on the customer’s licence — the first email must not say “confirmed”. Send two messages: “We received your request” straight away, with what was asked for and when you will answer, and “Your booking is confirmed” only once you have accepted it.
Mixing the two is how double bookings and angry customers happen. A person who reads “confirmed” plans their day around it; a person who reads “request received” waits for your answer — so answer within a few hours, not days.
Sending confirmations automatically
A confirmation somebody has to remember to send arrives late or not at all. In Base it is part of the booking itself. You choose how bookings arrive: confirmed instantly, or as requests you accept. With instant booking the customer gets “Your booking is confirmed” the moment they book; with requests they first get “We received your request”, and the confirmation follows when you accept it.
The email goes out in the customer’s language — English, Greek or Russian — with the reference, dates, total and deposit, at any hour: a confirmation is an answer, not marketing, so it is never held for the morning. You can rewrite the wording in settings, add WhatsApp once you connect your business number and approve a template, and the customer can add the booking to their phone calendar right after booking. Reminders, changes and cancellations follow the same way, so the customer never has to call to ask “am I booked?”.
FAQ
How fast should a booking confirmation email arrive? Within a minute. A customer who books and hears nothing books again elsewhere or calls you.
The customer says there was no confirmation email — what now? Ask them to check spam and promotions, then check the address they typed: most “booking no confirmation email” cases are a typo. Resend it, and correct the address in their customer card.
How can customers tell a fake booking confirmation email? Scams copy well-known booking sites and ask the customer to “confirm their card”. Your real confirmation should link only to your own booking page and never ask for card details by email — say so in your template if you take deposits.
Do I need a booking cancellation confirmation email? Yes. When a booking is cancelled, by either side, send a short message saying it is cancelled, whether any deposit is refunded and how to book again.
Plain text or HTML? Keep it simple. Most customers read the email on a phone, and a plain, short message with one clear link works better than a booking confirmation email template in HTML with images that do not load.
