Booking Appointments with Google Calendar

Google Calendar can take bookings: an appointment schedule gives you a page where people pick a free slot in your calendar. For one person with one kind of meeting it is often all you need. This guide explains what it handles well, the point where a service business with staff, rooms or rentals outgrows it, and how to keep Google Calendar as your personal calendar while bookings run somewhere built for them.

What a Google Calendar appointment schedule does

You set the hours you are available, the length of a slot and a buffer, and share a booking page. People choose a free time, the event lands in your calendar, and both sides get a confirmation. It respects the other events in your calendar, so a booked slot cannot clash with a meeting you already have. Some options, such as more schedules or payments, depend on a paid Google Workspace plan.

Where it works well

A consultant, tutor or coach who books one person at a time, with one or two meeting types and no shared resources, gets a clean, free setup. If your bookings are mostly video calls and your calendar already lives in Google, start there.

Where a service business outgrows it

It books time in a calendar, not a service with a price, a person with the right skill, a room or a car. It does not know that a colour takes longer than a cut, that the reformer room holds six, or that a car must be cleaned between rentals. Once two people share the work, or customers need to book a resource rather than you, the calendar starts to need a person to police it.

Customers, history and reminders

An appointment schedule keeps events, not customers. There is no record of what a client booked last time, no notes, no deposit and no history across staff. Reminders are basic. A booking system keeps the customer record beside every booking and sends confirmations and reminders that follow what actually happened.

Keep Google Calendar, move the bookings

You do not have to choose. Run bookings in a booking system and sync it both ways with Google Calendar: bookings appear in your calendar, and private events in your calendar block those hours on your booking page. Your phone shows one day; customers only see hours you can keep.

How to decide

Stay with Google Calendar if you are one person, book meetings, and do not take deposits. Move bookings to a booking system when a second person, a room, a vehicle or a deposit enters the picture — or when you notice that you are fixing the calendar by hand every week.

A middle path for a small team

Some teams keep each person’s Google Calendar and add a booking system only for what customers book. Each staff member connects their own calendar; the booking system reads their busy times and writes confirmed bookings back, so nobody keeps two diaries. Services carry their own duration, price and required skill, rooms and vehicles carry their own availability, and the booking page offers only combinations that are really free. The owner sees everyone’s day in one view, while each person still opens the calendar app they already use. When someone leaves, their bookings and customer history stay with the business rather than in a personal calendar.
