Appointment reminder texts: 25 templates you can copy

An appointment reminder text is the cheapest thing a booking business can send: one short message the day before turns most forgotten appointments back into visits. Below are 25 appointment reminder templates for salons, studios, tours, rentals, trades and tutors in Cyprus — what to say, when to send it and which channel to use. Copy them, change the words until they sound like you, and let them go out automatically so nobody has to remember.

When to send an appointment reminder

The evening before works for almost every trade: the customer can still rearrange their day, and the slot can still be offered to someone else. For a 9 am haircut that means roughly 20 hours ahead; for a car pickup, the morning before. A second reminder an hour or two before helps only for early starts, long trips and first visits — more than two messages becomes noise.

Never send a reminder of appointment at night. A message at 11 pm reads as careless, and the customer who wakes up to it is less likely to act on it than one who saw it at six in the evening.

What every reminder for an appointment must include

Five things, in this order: who it is from, what is booked, when, where, and how to change it. The business name goes first, because a text from an unknown number is ignored. The date is written as a day — “tomorrow, Thursday” — not only as a number. The change link matters most: a customer who can cancel in two taps cancels instead of simply not coming.

Keep it to about 160 characters for a text message. Anything longer belongs in the booking confirmation email, which the customer already has.

Text, email or WhatsApp: which channel to use

Text appointment reminders are read within minutes, but every SMS costs money and has no room for detail. Email is free and can carry the address, the policy and the change link, but it is read later and sometimes lands in spam. In Cyprus most customers live in WhatsApp, which makes it the channel they actually see — a business account sends reminders from approved templates, so the wording has to be agreed with Meta once.

A sensible default: email for everyone, plus WhatsApp for the customers who gave you their number. Do not send the same reminder on three channels at once.

Confirm-or-cancel: the reminder that frees the slot

The best reminders ask for an action. A link that lets the customer confirm or cancel turns silence into information: confirmed visits you can rely on, cancellations you can refill from the waiting list, and a short list of people who did neither — the ones worth a phone call.

Automating appointment reminders

A reminder somebody has to remember to send is not a system. In Base, the reminder goes out by email — and by WhatsApp once you connect your business number — the evening before by default, in the customer’s own language and never at night. The customer confirms or cancels from the link, and the change lands in your calendar. You write the wording once; the timing is a setting, not a habit.
